Cyprus Deputy Manager [ECS:18206PM]

Reporting to:     Company Director

We are currently seeking to recruit an Experienced Deputy Manager.

The successful candidate will be responsible for:

  • Cyprus Office Key Operations Requirements.
  • Cyprus Business Unit internal HR matters.
  • Assisting with CySEC regulatory requirements.
  • Cyprus Office Accounting Deliverables.

Operations:

Responsible for:

Assist the Cyprus Business Unit Manager, with the Cyprus office operations and administrative tasks.

Cyprus Office Operations & Compliance Function

  • Internal Payroll Function for the full team, monthly and annual requirements being delivered within set timeframes, including compliance with Social insurance and PAYE requirements.
  • External Payroll Function for clients, monthly and annual requirements being delivered within set timeframes, including compliance with Social insurance and PAYE requirements.
    • Design and implement Cyprus office business processes (guidelines, checklists, etc.) across the full sphere of functions within the Cyprus office.
    • Manage existing Management Information system (MIS).
    • Manage Weekly progress reporting and overall contribution to monthly Eltoma Group MIS reporting.
    • Assist and Monitor performance of each team member in relation to his/her portfolio.
    • Prepare and complete government authorities’ documentation
    • Liaising with visiting clients, including client compliant handling.
    • Daily/weekly update of timesheets and approving/reviewing timesheets for all reporting Cyprus office staff.
    • Liaise with overseas offices to support overseas operations of Eltoma Corporate Services.
    • Manage the filing of supporting documentation and complying with legal and internal storage requirements.
      • Avoid legal challenges for ECS and clients by understanding current and proposed legislation; enforcing cross business functions regulations; recommending new procedures.
      • Protects organisation's value by keeping information confidential and job records in Sage Practice Solution timely, completely and accurately.
      • Keep timely, accurate and complete timesheet records in Sage Practice Solution.
        Participating in various projects and ad hoc assignments where required.
      • Handle a number of confidential matters, as they arise.
      • Office function facilities, including not limited to technology, domestic requirements, incoming mail review.
      • Implement and operate an efficient system to ensure Cyprus office suppliers and company expenses payments is executed in an accurate and timely process.
      • Supervise the Administration Function, including team members.
      • Source office supplies and office repairs – ensure the smooth office running environment at all times.
        • Handle requests and enquiries appropriately.
        • Preparation of technical articles related to agreed areas supporting the company’s products, services and brand.
        • Active participation in SMM projects of Eltoma Corporate Services.
        • Prepare and conduct internal and external webinars relating to cross office functions.
        • Promote company values across all offices.
        • Adhere to internal and external deadlines.
        • Ensure that the required compliance reviews are conducted within the set timescales and requirements of the AML/CFT/FATCA framework requirements.
        • Keeping soft and hard copies of documents and clients’ files in proper order and maintaining client database records in order to ensure timely, accurate and complete records.
        • Monitoring changes in international AML/CFT/FATCA requirements, reporting it to a Group Compliance Officer - proposing and executing changes to internal AML/CFT/FATCA policies and procedure to ensure 100% compliance with AML/CFT compliance requirements.
        • Participating in preparation of required internal and external reporting according to AML/CFT/FATCA reporting requirements.
        • Delivering internal and external training (seminars and webinars) on AML/CFT/FATCA for ECS staff and its clients.
        • Conducting internal compliance audit when required in order to identify areas for improvements and action on them.
        • Supporting other departments on matters relating to AML/CFT/FATCA compliance.
        • Enforcing AML/CFT/FATCA internal policies and regulations to ensure that all ECS staff comply with them.
        • Fully responsible for the Cyprus Business Unit health and safety, all aspects.
          • Maintain the Cyprus company corporate apartment.
          • Completion of allocated project related tasks within set timescales, via the Project Manager instructions.
          • Provide full support to the Cyprus Business Unit Manager on designated tasks.
  • Fully responsible for the office health and safety, all aspects.
  • Deputise for the Manager and delegate tasks to others in the manager's absence.
  • Supervise a number of staff within the administration function within the Cyprus office.
  • Enhance existing Cyprus office filing system including management of scanning and document control.
  • Understanding requirements of AML/CFT/FATCA international framework and internal procedures established in the company.

 

Accounting

  • Monthly close out of individual and consolidated accounts.
  • Preparation of management accounts in Caseware.
  • Daily reconciliation of bank accounts of Eltoma Corporate Services.
  • Development and maintenance of Internal control policies and procedures covering:
    • Cash and Banks.
    • Sales and Accounts Receivable.
    • Purchase and Accounts Payable.
    • Fixed Assets.
    • Deposits and Current Liabilities, etc.
  • Sage Accounts/Caseware software support:
    • Internal training and continuous support of other departments.
    • Customised Sage reporting.
    • Price lists, discounts, etc.
  • Treasury function:
    • Local and international payments.
    • FX and financial risk management.
    • Cash flow forecasting and monitoring.
    • Short-term deposits of cash excess.
    • Optimisation of cost of treasury, etc.
  • Budget and Budgetary Control and Analysis.
    • Individual and consolidated balances.
    • Budget variances analysis.
    • Review budgeting variances and make appropriate actions to enhance performance in order to ensure that the Cyprus Operations is profitable.
  • Pricing ECS products:
    • Existing products profitability review.
  • Pricing new products.

MIS reporting:

  • Group consolidated accounts.
  • Departmental P&L.
  • Calculation of commission for ECS staff.

ECS financial performance analysis.

  • Cost analysis.

Design and development of internal documents:

  • ECS financial operations and reporting manual describing accounting treatment of ECS business transitions and business processes and document flows.
  • Internal control policies and procedures.
  • Internal accountant job descriptions.
  • Manage the treasury section.
  • Overall responsible for Cyprus office budgets.
  • Managing bookkeeping for a portfolio of companies generating activities in Cyprus, Hong Kong and Singapore companies and ensure work is finalized within the required strict deadlines.
  • Liaise with auditors and clients for the completion of audit, tax return preparation and filing of financial statements.
  • Complete preparation and submission of VAT and VIES Declarations, all Governmental tax requirements for both Cyprus office and that of existing Cyprus corporate clients.
  • Coaching and training team of Senior and Junior Accountants.
  • Conducting internal and external seminars/webinars for Eltoma staff and its clients on IFRS, Cyprus taxation and Hong Kong, UK and Singapore tax legislation after necessary knowledge is acquired.

        

Requirements and Person Specification:

  • 3-5 years proven work experience, in a similar position.
  • University Degree in business industry, for example accounting. A Master’s Degree will be considered an advantage.
  • Knowledge of accounting standards in Singapore, Hong Kong, UK and Cyprus
  • Outstanding organisational, time management and attention to detail skills.
  • Ability to multitask and prioritise daily workload.
  • Ability to manage multiple tasks effectively and efficiently.
  • Strong command of written and spoken English, Ukraine and Russian - essential, additional languages would be considered an advantage.
  • Discretion, trustworthy and confidentiality, key attributes.
  • Dynamic and energetic personality.
  • Self starter, comfortable with taking initiative, can work independently from direct manager.
  • Flexibility and adaptability.
